Longwood University invites qualified applicants to apply for the position of General Administration Supervisor I / Coordinator I (00071) in the Dean's Office of the College of Education, Health, and Human Services. The successful candidate will provide administrative assistance and support for the Dean, Associate Dean and Call Me Mister program.

This position is located in Farmville, Virginia, and is required to work in person on Longwood University's campus.

Visa sponsorship is not available for this position.

Essential Responsibilities and Duties :
  • Responsible for a wide variety of moderate to complex programs and operational support duties
  • Maintain a positive and proactive customer service attitude with all individuals who interact with the dean's office
  • Oversee college office processes and procedures
  • Direct and monitor maintenance of confidential information
  • Manage and maintain office records
  • Keep accurate minutes of internal and external meetings; type and distribute minutes to committee members upon approval of the dean
  • Procure and maintain adequate inventory of office supplies and supplies for events; use eVA as appropriate
  • Process compensation forms as needed
  • Oversee budgets for E&G, foundation, agency and grant accounts
  • Prepare monthly summaries using Excel for expenditures, encumbrances, and account balances
  • Produce regular reports for the dean's information and decision-making, as well as the chair for the Social Work and Communications Sciences and Disorders Department
  • Manage, plan, organize and assist with events
  • Supervise students
  • Maintain prompt payment of invoices and honorariums on a daily/weekly/monthly basis
  • Ensure all work remains in compliance with university and state policies, procedures, and regulations
  • Additional duties as assigned


Job Requirements:
  • College degree preferred
  • Knowledge of accounting principles and procedures
  • Extensive experience in office procedures and records management
  • Demonstrated experience with budget management
  • Ability to work under pressure
  • Proficiency in effective, clear, and concise communication skills delivered in a professional manner, both written and oral
  • Extensive knowledge and experience with numerous software programs including MS Office and BANNER
  • Must be proficient with eVA, VISA/SPCC, BANNER, ARGOS, BOA, Works, R25 and remain up-to-date with upgrades
  • Must maintain confidentiality at all times
  • Ability to assume responsibility without direct supervision and to work independently without specific direction from supervisor in implementing college and university strategic goals
  • Ability to learn new skills
  • Demonstrated ability to exercise initiative and judgment with problem-solving skills and creativity
  • Demonstrated ability to utilize and organize information, as well as allocate resources effectively


Additional Information:

This is a full-time, classified, exempt position in pay band 4. Salary will be commensurate with credentials and experience. Commonwealth of Virginia benefits accompany this position.
