The McIntire School of Commerce at the University of Virginia is seeking a Graduate Admissions & Recruiting Coordinator to provide administrative and project support to the Executive Director of Graduate Marketing & Admissions as well as general office support to the Graduate Marketing & Admissions Team.
The ideal candidate will bring strong and proactive organization skills and a customer-service mindset to integrated office management, travel, budgeting, expense reporting and event coordination. Along with excellent oral and written communication skills, this role requires good judgment and first-class professionalism in dealing with a range of internal and external stakeholders and sensitive information. The candidate should excel in making well-reasoned decisions aligned with executive priorities and ethical standards, working independently or collaboratively, building strong relationships, and fostering teamwork to achieve organizational goals with colleagues and senior leaders.
Administrative and Office Support
Manages the calendar for the Executive Director to include setting up meetings, being responsive to meeting requests, prioritizing requests, and maintaining time on calendar for project work and time sensitive matters.
Coordinates travel arrangements for the Executive Director and processes travel reimbursements and expenses.
Anticipates and proactively addresses the needs of the Executive Director and performs administrative tasks to ensure our organization’s workflow runs smoothly.
Facilitates internal communication and operational efficiency within the Graduate Marketing & Admissions team to include scheduling meetings, appointments, and events; communicating weekly staff coverage and absences; and acting as an informed and welcoming point of contact to internal and external stakeholders.
Leads coverage for all incoming calls and is the front-line point of contact for main office reception and visits.
Supports Graduate Marketing & Admissions team in office coordination and with the logistics and delivery for admissions events.
O rders supplies for the office, keeps inventory of regular and special events, especially marketing and promotion materials. Provides input and assistance with organization and process improvement for the office; filing systems, scheduling needs, and assists with even program development and some follow-up items.
Monitors budget allocation and utilization for Graduate Marketing & Admissions team expenses; provides monthly budget reporting to the Executive Director. Maintains a working knowledge of university budget policies as well as the ability to navigate all budget systems while leveraging reporting tools to ensure timeliness and accuracy for ongoing budget management.
Project Support
Completes proje cts assigned by the Executive Director; assists with coordination and ensures completion.
Establishes and maintains a tracking/reporting process for all ongoing projects and tasks.
Other duties as assigned.

Minimum qualifications:
A High School Diploma or equivalent
At least 4 years of relevant experience (bachelor’s degree may substitute for years of experience)
Preferred Qualifications:
Excellent office management skills with the initiative and flexibility to take on new projects and learn new technologies and/or systems as required .
Ability to work under tight deadlines and manage multiple priorities.
Strong technical skills including Outlook, Word, Excel, Teams and PowerPoint.
Knowledge of basic accounting and budgeting strongly preferred.
Anticipated Hiring Range: $20.00 - $24.50 / hour
This position is located in Charlottesville, VA. Due to the nature of the work and position responsibilities, the role is not eligible for remote or hybrid work arrangements.
