Job Duties

  • Compile, compose, edit, produce, and distribute a variety of documents including detailed memos, e-mails, correspondence, reports, speeches, presentations and other communications as requested or under the supervision of assigned Division staff.
  • Draft and mail correspondence as requested.
  • Operate copy machines, scanners, postage machines, and other equipment as required to complete performance of tasks.
  • Schedule and organize meetings.
  • Assist in the maintenance of office equipment.
  • Keep track of supply inventory for assigned section and ordering needed supplies through the Division's Program Administrator
  • Serve as back up coverage for the Division's front desk area. Performance functions include:
    • Greet and welcome guests and visitors as soon as they arrive at the Division.
    • Direct visitors to the correct meeting staff or summon appropriate staff to the front desk to escort visitors to the staff member's office or other appropriate meeting site.
    • Ensure reception area is tidy and presentable, with all necessary stationery and any other material offered to the public by the Divisions.
    • Provide basic and accurate information in-person and via telephone and email.
  • Maintaining records related to meetings of assigned standing committees, joint subcommittees, and other entities of the General Assembly General Assembly.
  • Additional tasks as assigned.

Minimum Qualifications

  • Strong organizational and administrative skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office and data management software.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to multitask.
