Job Duties

The Program Support Specialist provides programmatic, operational, and administrative support to strengthen coordination across the Programs and Outreach team. This position will work closely with division leadership and program staff to organize priorities, improve internal processes, and ensure projects and deliverables remain on track.
• Coordinate and track projects, assignments, deadlines, and deliverables across multiple program areas.
• Develop and maintain work plans, project trackers, calendars, shared resources, and other tools that support effective team operations.
• Support coordination across program areas by identifying upcoming deadlines, outstanding action items, and areas requiring follow-up.
• Assist with the implementation and coordination of division-wide initiatives, special projects, outreach activities, trainings, and stakeholder engagements.
• Coordinate internal and external meetings, including developing agendas, organizing materials, documenting action items, and supporting follow-up.
• Assist with collecting, organizing, and maintaining program information, data, reports, and other documentation.
• Prepare reports, presentations, briefing materials, and other documents related to program activities and priorities.
• Facilitate communication and information sharing among program staff, leadership, other OAG divisions, and external partners.
• Identify gaps or inefficiencies in internal processes and recommend practical solutions to improve team organization and workflow.
• Provide administrative support for division activities as needed, particularly where necessary to advance program priorities and team operations.
• Support special projects and other duties as assigned.

Minimum Qualifications

• Experience in program coordination, project management, operations, public administration, or a related area.
• Strong organizational and project management skills with demonstrated ability to manage multiple priorities and deadlines.
• Ability to create and maintain effective systems for tracking projects, deliverables, and team responsibilities.
• Strong written and verbal communication skills.
• Excellent attention to detail and ability to organize and synthesize information.
• Demonstrated ability to take initiative, identify needs, and move assignments forward with limited supervision.
• Ability to work collaboratively across multiple teams and program areas and effectively follow up on assignments and deliverables.
• Strong problem-solving skills and ability to improve processes and workflows.
• Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
• Ability to exercise discretion when working with sensitive or confidential information.

Additional Considerations

• Experience in government, public service, public safety, grants management, community engagement, or a related field preferred.
