Description for Candidates:

  • Serve as the district's fleet maintenance planning and scheduling coordinator for the district-wide equipment program. Coordinate and outsource repair and maintenance activities. Evaluate performance of ISSP vendor repairs. Support emergency response and fleet readiness activities. Provide reports on equipment performance and reliability.

    How you will contribute:
  • Audit Preventive Maintenance Program: Assist in managing State Inspection process in accordance with State policies and procedures. Ensure State Inspection information is accurately reflected in M5. Ensure records and reports on equipment are recorded or updated in M5. Verify work orders with preventive repair maintenance jobs are completed at the end of each month.
  • Coordinate and Schedule Outsourcing: Serve as liaison between equipment repair shops and maintenance and repair vendors. Contact vendors to schedule repairs after need has been determined. Create and update vendor repair work orders in M5. Ensure jobs created on work order match work performed by vendor. Gather price quotes from vendors following procurement guidelines. Coordinate delivery and pick-up of equipment to vendor. Track status of outsourced work.
  • District Warranty Program Coordination: Serve as liaison to schedule warranty repairs for shop operations and work with vendors to address questions and concerns. Retain accurate warranty data and reports.
  • Emergency Response Preparation and Reporting: Provide detailed information on equipment status. Generate reports from FleetFocus M5 system. Monitor accuracy of information entered into M5 system. Coordinate with ManCon to ensure availability of parts or that Mancon has developed a parts sourcing plan for each equipment repair shop. Provide reports to District Equipment Manager. Provide equipment readiness rate for the district and report on anticipated completion of repairs. Coordinate or dispatch transportation operators for movement of equipment within district.
  • Hazardous Waste Disposal and Oil Sampling Analysis: Ensure hazardous wastes in shop are properly disposed of and reporting requirements for environmental regulations and DEQ are being met. Inspect or review shops for compliance and address concerns with management. Prepare and provide reports to management.
  • Paint and Body Work: Perform heavy and light paint and body repair work on VDOT owned equipment or schedule work to be performed by contractor. Prepare quotes for repair. Track repair costs.
  • Process New Equipment: Track or assist with the processing of new equipment. Ensure that new equipment meets specifications.
  • Quality Assurance: Conduct quality assurance checks related to shop and outsourcing operations and inspections. Conduct shop safety inspections and recordkeeping. Maintain accurate records on SDS information. Compile, prepare and report on vendor repair performance. Track data on repair completions. Collect data and report vendor complaints. Coordinate repairs of defective vehicle information transmittal with appropriate shop supervisor. Oversee the laptop updates for all shop diagnostic laptops.
  • Radio Program Coordination: Provide guidance, direction and training to staff involved in the repair, installation, removal and use of radio operations. Coordinate radio repair with Virginia State Police technicians. Schedule installation of radios in new or existing equipment and removal of radio equipment from retired equipment.

  • Ability to prepare and maintain accurate reports.
  • Ability to read and interpret equipment specifications.
  • Knowledge of OSHA safety rules and regulations related to hazardous materials and shop operations.
  • Knowledge of automated equipment management systems and computerized diagnostic testing equipment.
  • Knowledge of automotive and heavy equipment repair.
  • Knowledge of fleet management and performance operations.
  • Knowledge of procurement practices and procedures.
  • Skill in the use of computers and software applications.

  • Minimum Qualifications:
  • Ability to coordinate, schedule, troubleshoot issues while working with vendors and procuring parts.
  • Ability to obtain CDL and DOT medical card within 11 months of employment and maintain thereafter. Must comply with DOT and VDOT policies and standards when operating CDL equipment.
  • Ability to obtain Virginia State Inspection license.
  • Ability to prepare and maintain accurate reports.
  • Ability to read and interpret equipment specifications.
  • Knowledge of automotive and heavy equipment repair, body work and painting.
  • Safety shoes required.
  • Skill in applying OSHA safety rules and regulations related to hazardous materials and shop operations.
  • Skill in applying procurement practices and procedures.
  • Skill in fleet management and performance operations.
  • Skill in using computers, automated equipment management systems and computerized diagnostic testing equipment.

  • Additional Considerations:
  • A combination of training, experience, or education in Equipment Repair, Service Technician or related field desired.
  • Experience in automotive repair and fleet operations desired.
  • Experience with paint and body repair.
  • Possession of Commercial Drivers License (CDL) and Virginia State Inspection license.
