General Information:
The Study Abroad Fiscal Specialist supports the mission of the Study Abroad unit within the Center for Global Engagement by assisting with financial and budgetary procedures for JMU’s study abroad programs, reviewing programming contracts, and authorizing employment for study abroad faculty and support staff on study abroad programs. Key responsibilities also include serving as a main point of contact with short-term faculty directors and other campus constituents about financial logistics and policies related to study abroad programming. This position reports to the Associate Director of Operations.
Duties and Responsibilities:
Fiscal and Personnel Support for All Study Abroad Programs: -Work alongside the Associate Director of Operations to develop and train study abroad directors on financial procedures in accordance with state, federal, and university policies -Supervise ePAR workflow for all short-term and semester study abroad programs and oversee bimonthly recovery transactions -Process payments for and monitor billing of student health insurance and administrative charges. -Act as travel approver for study abroad programming, including travel authorizations, transportation requests, supply orders, and reimbursements -Process signature authority for department org numbers throughout the year, maintain and update internal org code listing; ensure appropriate department IDs and account codes are assigned. -Track all study abroad cancellations and withdrawals in accordance with financial procedures and budget implications (refunds, forfeitures, insurance). -Monitor the study abroad website as needed for updates to program fees and financial procedures.
Review Budgets for Short-Term Study Programs: -Provide guidance and budget review for approximately 20 short-term study abroad programs and work alongside directors in determining program fees -Designate appropriate salaries, approve job descriptions, determine pay periods, and authorize employment for short-term study abroad faculty and support staff -Authorize stateside spending (credit card and ACH) for program-related expenses, review vendor contracts and agreements and authorize timely payments
Provide Support to Overall Mission of Study Abroad: -Collaborate efficiently with a diverse group of co-workers and affiliates to provide support and guidance on any matters related to study abroad -Provide logistical and event support for study abroad on-campus programming, including some work on nights and weekends
Qualifications:
Required Qualifications: -Previous budget, budget management, financial, or clerical experience -Ability to effectively and professionally communicate with partners across multiple departments -Robust interpersonal and intercultural skills -Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, Teams) -Proven attention to detail, resourcefulness, and time management skills -The ability to be self-motivated and work independently while simultaneously working efficiently in a team environment
Additional Considerations: -Fiscal experience in higher education -Knowledge of accounting principles -Passionate about international education and/or financial proceedings -Ability to think quickly and be flexible and adaptable to both small- and large-scale changes -Ability to prioritize tasks independently
