The Department of Pediatrics at the University of Virginia (UVA) School of Medicine seeks applicants for an Administrative Assistant or Intermediate Administrative Assistant to perform clerical and administrative work in the division of Pediatric Cardiology.

Administrative Assistants perform work of a clerical nature, providing office support under direct supervision. Work is typically repetitive and follows consistent practice and established procedures. Administrative Assistants consult with supervisors for most decisions outside of standard operating procedures. The successful candidate will join a department that employs outstanding people, and is progressive in its initiatives to develop and support its staff, making it a great place to work. This position will join a supportive, learning-oriented team.

Job Responsibilities
  • Provide administrative support to Pediatric Cardiology faculty members
  • Type memos, correspondence, forms, and technical or confidential reports
  • Receive and screen incoming calls and mail, answer routine inquiries, and route calls to the appropriate individual
  • Maintain calendars, schedule and confirm appointments, meetings, and travel arrangements
  • Assist with onboarding of Pediatric faculty members which includes space management and office set up for new Faculty
  • Order office/lab supplies and event coordination, as needed
  • This position’s divisional support and duties may change due to department needs


The successful candidate will be a detail-oriented individual with excellent communication skills and the ability to multitask effectively. They will be expected to maintain a high level of professional conduct in both virtual and in-person settings.

Minimum Qualifications

Administrative Assistant

Education: High School Diploma

Administrative Assistant Intermediate

Education: High School Diploma

Experience: At least one year of relevant experience

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

  • This position is based in Charlottesville, VA, and must be performed fully on-site.
