The University of Virginia International Studies Office seeks applications to recruit an Administrative Generalist. Administrative Generalists are responsible for a variety of professional level work across a composite of administrative service areas including budget, finance, procurement, human resources, academic administration, student services, communications, grants and research administration, space and facilities and/or high-level operational support. They act on behalf of a program, function, or department, and may report to a unit administrator. Administrative Generalists need to be adaptable and detailed oriented since they assume a breadth of responsibilities across multiple functions.

Responsibilities:

  • Process Education Abroad, OPT and OPT STEM App fee payments/refunds and corresponding Ad Hoc Banking transactions
  • Establish and update SIS billing sheets for Education Abroad Programs
  • Process Group Post to SIS
  • Process and assign Labor Costing and Period Activity Pay
  • Prepare 3rd party billing, and track partner institution billing
  • Process J-1 ISD’s
  • Create Manual Journal Entries, Accounting Adjustments and Payroll Accounting Adjustments
  • Reconcile foreign bank accounts
  • Process purchase orders, assigned carts and create supplier invoices requests
  • Prepare Monthly Account Certifications
  • Review and approve Expense UVA transactions
  • Update General Expenditure log
  • Maintain Records for department, following University and departmental policies and procedures
  • Attend meetings and training sessions as needed to keep appraised of changes in policy and procedures
  • Workday Roles: Cost Center Fiscal and Deposit Specialist, P2P $10K Requisitioner, Account Payable Analyst, Accountant, Payroll Costing Manager, Payroll Accounting Adjustment Specialist, Expense Support Specialist
  • During peak times assist Education Abroad and International Students and Scholars Program
  • Supervise Senior Administrative Coordinator
  • In addition to the above job responsibilities, other duties may be assigned


Minimum Requirements:

Education: Bachelor's degree

Experience: At least three years of experience. Relevant experience may be considered in lieu of a degree.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This posi ti on is Hybrid located in Charlottesville, VA . This could change depending on the needs of the department. Anticipated Hiring Range: $60,000 - $ 65,000 commensurate with education and experience.
