Admissions Coordinator, Frank Batten School of Leadership and Public Policy

The Frank Batten School of Leadership and Public Policy seeks an Admissions Coordinator to play a pivotal role in supporting the daily operations of the UVA Batten Office of Admissions. This multifaceted position combines front-line student service and recruitment, logistical and operational support, application and evaluation assistance, and coordination of student staff and volunteers. The ideal candidate is organized, communicative, and passionate about fostering a welcoming and efficient admissions experience for prospective and current students, staff, faculty, and the public.

Key Responsibilities:

Student Support & Communications
  • Serve as first point of contact for student inquiries via in-person inquiries, phone, email inbox, and other communication channels.
  • Respond to questions regarding application, program requirements, and general admissions processes.
  • Assist in drafting and disseminating basic communications to mailing list, including the Batten Beginnings undergraduate newsletter.


Operational & Logistical Support
  • Coordinate logistics for meetings, events, prospective student visits, and yield activities including open houses and admitted student days.
  • Assist with setup, registration, space reservations, and follow-up communication.
  • Oversee general office functions, including inventory management, ordering supplies, and coordinating reimbursements and purchases.
  • Support evaluation and admission process by preparing for Admissions Committee meetings, communicating and coordinating logistics, organizing materials, and performing related tasks.
  • Manage shared calendars and schedule meetings as needed.


Data Management
  • Perform data entry and updates in Slate (CRM) and SIS systems.
  • Maintain accurate and organized records to support internal reporting and compliance.
  • Launch instruments and workflows to automate tasks, generate reports, manage event registrations and attendance, deploy forms, update admissions applications, etc.
  • Maintain documentation for admissions processes and identify opportunities for continuous improvement in coordination with team members.
  • Review transcripts to evaluate student eligibility for the Public Policy & Leadership Minor.


On-Grounds Engagement
  • Represent Office of Admissions at events, fairs, class visits, and on-campus engagements.
  • Serve as an informed and approachable presence at public-facing activities.
  • Provide accurate and timely information about academic programs, application processes, and events.


Ambassador Program Oversight
  • Coordinate the Volunteer and Lead Ambassador Program under supervision.
  • Support recruitment, scheduling, and training of student ambassadors.
  • Act as a liaison between ambassadors and the admissions team to ensure positive experiences and effective engagement.


Minimum Qualifications:

Education: Bachelor’s degree

Preferred Qualifications:
  • Two years of professional experience in admissions, student services, or in a higher education setting.
  • Excellent communication and interpersonal skills.
  • Demonstrated commitment to customer service and student support.
  • Strong organizational abilities and attention to detail, with the ability to create and maintain organized workflows/processes, meet deadlines, and maintain accuracy.
  • Ability to manage multiple responsibilities in a fast-paced environment, working both independently and as part of a team.
  • Demonstrated discretion with confidential and sensitive information and matters.
  • High degree of comfort with technology; ability to learn new systems quickly and leverage platforms to create efficiencies. Experience with database management, Slate (CRM), and/or student information systems (SIS) preferred.
  • In-person presence on Grounds is required, with possible travel to local events or fairs. Occasional evening and weekend work required to support programming.


PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This position is based on grounds in Charlottesville, VA.

The anticipated hiring range for this role is $45,000-$52,000, based on candidate qualifications.

The University will perform background checks on all new hires prior to employment.
