Job Duties

Under the supervision of the Clerk of Court or designee, performs a wide variety of data entry and administrative support duties for the Court by following established policies and procedures based on Virginia statues, rules, and local ordinances.
The Deputy Clerk (Grade 8) is assigned operational responsibilities in a high volume, fast paced office with frequent deadlines. Ensure court instructions are executed and legal documents entered with accuracy and in accordance with state and local policies.

Essential Duties & Responsibilities – The Entry Clerk handles daily adult criminal entry for all matters received as a result of adult criminal arrests, and juveniles who are detained overnight. This includes the processing of warrants, summonses, petitions with detention orders (both unexecuted and executed), and emergency protective orders (EPOs). A large component of the adult warrants process includes scheduling the cases for trials on dates cross-referenced with the arresting officer’s schedule. Case-related coordination is a significant part of the job and must be performed at a high level. This includes transfers from Chesterfield General District Court.

The Entry Clerk will have frequent interaction with the Sheriff’s Office, attorneys, probation officers, and other jails to set up criminal arraignments, bond hearings, detention hearings, etc. (both in-person or virtually). The Entry Clerk will also enter all petitions that are entered with a simultaneous detention order by CSU; process all recognizances and other release paperwork; all recalls of process once received by the Court; and all show causes/capiases requested by either the Commonwealth’s Attorney or Community Corrections.

Minimum Qualifications

High school diploma or equivalent required. Qualified applicants must possess a can-do attitude, be able to meet strict deadlines, and handle a high volume of paperwork. Favored applicants will be self-motivated, be able to work independently as well as part of a team and manage changing priorities.

Additional Considerations

Preferred applicants will have attended college; have relevant judicial system experience in a similar position in a court setting; possess credible experience working in a trauma-informed environment; and have experience providing face-to-face customer service interactions in a challenging environment.
