Longwood University invites qualified applicants to apply for the position of Executive Assistant to the Associate Provost and Vice President for Academic Affairs / General Administration Supervisor I/Coordinator I (00117). The successful candidate will be responsible for providing administrative support for the SACSCOC re-affirmation, fifth-year report writing, and other documentation; to support SCHEV notifications and documentation; to support NC-SARA data collection; to provide support for Faculty Senate; and to support the Associate Provost and Vice President for Academic Affairs (APVPAA) on special projects as assigned. The successful candidate will also be part of the administrative team in the Office of Academic Affairs and will support general operations of the office.

This position is located in Farmville, Virginia, and is required to work in person on Longwood University's campus.

Essential Responsibilities and Duties :
  • Provide general administrative support for the APVPAA, the Office of Accreditation and Compliance, the Office of Assessment and Institutional Research (AIR), the Director of Program Effectiveness (who leads the Post-Graduate Success Initiative), Faculty Senate, Civitae
  • Provide administrative support for the Faculty Senate chair and the Senate Executive Committee
  • Arrange meetings for Faculty Senate and Senate Executive Committee, and take minutes at those meetings
  • Track policy changes made by Faculty Senate and update Faculty Policies and Procedures Manual on an annual basis
  • Update websites for Academic Affairs, AIR, the Post-Graduate Success Initiative, Civitae, and Faculty Senate as requested
  • Serve as office manager for the Office of Academic Affairs: order supplies, maintain inventory and copy room, handle RTAs and travel arrangements for staff
  • Coordinate logistics and planning for Civitae-sponsored events, such as Symposium Day, and Post-Graduate Success Initiative workshops and events
  • Gather and maintain collections of paper and/or electronic documents and records for the Office of Accreditation and Compliance, including syllabi, complaint logs, and correspondence logs
  • Coordinate data collection for specific projects
  • Prepare materials for external review
  • Coordinate logistics and planning for on-site visits by SACSCOC personnel
  • Provide support for the dissemination of, and coordination of access to, Major Field Tests (MFTs) for AIR
  • When needed, duplicate survey instruments, assign appropriate postage, obtain testing/surveying mailing list, track response rates, and maintain the collection of the assessment data file, reports, and instruments such as NSSE, SCHEV-SRC, and MFT
  • Other duties as assigned


Job Requirements:
  • High school diploma or equivalent required; Bachelor's degree preferred
  • Significant work experience with Microsoft Office required
  • Demonstrated successful administrative experience required
  • Proficient in effective, clear and concise oral and written/editing communication skills required
  • Professionalism in all communications required
  • Attention to detail required
  • Demonstrated ability to work with multiple projects and tight deadlines required
  • Excellent organizational skills required
  • Effective time management skills required
  • Demonstrated ability to work independently
  • Competency in TerminalFour and Banner preferred
  • Demonstrated ability to plan, organize, and implement complex operational activities with little supervision preferred
  • Significant background in office supervisory and training skills preferred
  • Familiarity with other types of software preferred
  • Experience with eVA preferred


Additional Information:

This is a full-time, classified, non-exempt position in pay band 4. Salary will be commensurate with credentials and experience. Commonwealth of Virginia benefits accompany this position.
